This Privacy Policy describes how Upgrade Your Practice (“we,” “us”) collects, uses, and shares information on upgradeyourpractice.com. It applies to the scorecard, guides, forms, email, and related services on this site.

It is written for business contacts at professional practices. It is not a notice for patients or legal clients, and using this website does not make us your HIPAA business associate.

Information collected directly from you

We collect information you choose to submit: name, business email, optional phone, practice name, practice type, approximate size, location or ZIP, a description of an operational need, and any message you type. Newsletter and checklist requests collect name and business email. Report requests collect name, business email, and consent to send the snapshot.

Do not submit patient names, client or matter details, medical information, Social Security numbers, payment-card data, passwords, VPN credentials, or other secrets. If you send that kind of information by mistake, we will delete it when we find it.

Information collected automatically

Servers that host the site collect ordinary technical logs needed to deliver pages and keep the service secure, such as IP address, browser type, date and time, and the URL requested. Scorecard results pages that contain a personal token are configured not to be indexed by search engines.

Contact form submissions

The contact form is for editorial questions, correction requests, partnership inquiries, website feedback, and general business questions. We use the details you submit to route and respond to that request.

Assessment or scorecard submissions

If you complete the Practice Technology Scorecard, we store your answers separately from contact details, with a random results token. Answers are used to calculate scores and recommendations. You can finish the scorecard and see results without giving an email address.

Email newsletter subscriptions

If you request the practice technology checklist or a similar email, we use your business email to send that material and related educational follow-up you consented to. You can opt out as described below.

Analytics data

If a Google Tag Manager container is configured on the production site, analytics events may measure page views, assessment progress, and form completions. Those events are designed not to include names, emails, phone numbers, or assessment answers. Analytics tags load only after you accept analytics in the cookie banner.

Cookies and similar technologies

WordPress may set cookies needed to run the site, especially if you are logged in. The cookie banner, when analytics is configured, stores your analytics choice (`uyp_analytics`) so we can remember it. We do not use cookies to run third-party display advertising on this site.

Affiliate tracking

Some links use a `/go/` redirect so we can record that a sponsored or affiliate path was used. That record is a server-side event (such as slug and campaign). It is not a license to attach your name or email to the click. Affiliate compensation does not change scorecard or comparison ranking. See the Affiliate Disclosure.

Third-party services

We use service providers to operate the website and email. Depending on configuration, that may include website hosting, WordPress, transactional email, and a CRM (for example HubSpot) when a connection is enabled. Those providers process information on our instructions. We do not currently run a third-party advertising network on this site.

Advertising

We do not currently sell display ads or load advertising pixels on Upgrade Your Practice. If that changes, this policy will be updated before those tools run.

Vendor referral forms

The vendor-match form on Work With Us is used only if you ask for an introduction. We share your business contact details with a matched provider only after you check the specific sharing consent on that form.

Consultation requests

Advisor or consultation requests are used to understand the operational problem and to follow up. Crazy Smart Consulting is a related implementation option with disclosed common ownership. You are not required to hire that firm. See About.

How collected information is used

  • To show scorecard results and email a snapshot if you ask for one.
  • To respond to contact, consultation, vendor-match, or checklist requests.
  • To improve the site and scoring model using answers that are not attached to your name in analytics tools.
  • To keep the service secure and to comply with law.

When information may be shared

We do not sell contact lists. We share a vendor-match lead only with your explicit consent. We may share information with service providers who host email, the website, or a CRM; with a related implementation company when you ask for that help; or if required by law or to protect the security of the service.

Data retention

Anonymous assessments are kept for 24 months, then deleted. Contact records and related lead files are kept until you unsubscribe or request deletion, unless we must keep a record longer for legal or security reasons. Server logs are kept only as long as needed for operations and security.

Data security

We use reasonable administrative and technical measures appropriate to a public website and business-contact forms. No method of transmission or storage is completely secure. Do not use this site to transmit confidential patient, client, or payment data.

Your choices and rights

You may request access to or deletion of your contact record through the contact page or WordPress privacy tools. Unsubscribing from email stops that follow-up; it does not by itself erase a record we are required to keep.

Email opt-out

Use the unsubscribe link in an email we send, or request removal on the contact page from the same business address. Transactional messages needed to complete a request you made (such as a report you asked for) may still be sent.

If the analytics banner appears, choose Accept analytics or Essential only. You can also control cookies in your browser. Essential-only means we will not load the analytics container. It does not log you out of WordPress if you have an account.

Guides may link to vendor sites and other resources we do not control. Their privacy practices are their own. Read those policies before you submit information there.

Children’s privacy

This site is intended for adult professionals. We do not knowingly collect personal information from children.

State privacy rights

Depending on where you live in the United States, you may have rights to request access, correction, or deletion of personal information we hold about you, and to appeal a denial. Submit requests through the contact page. We do not sell personal information as that term is commonly used in U.S. state privacy laws, and we do not share it for cross-context behavioral advertising because we do not run that advertising on this site.

These statements describe our practices. They are not a certification that a particular statute applies to us or that we have completed a formal regulatory audit.

Changes to this policy

If we change this policy in a material way, we will post the updated text on this page and change the last-updated date.
